What SharePoint Can Do For Your Business
If you’re using SharePoint as a glorified shared drive, you’re missing the point. And more importantly, you’re creating the same problems you had before. Just with better branding.
Too many SMEs are have folder chaos, versions everywhere, and no one can find anything.
SharePoint can fix that — but only if you use it properly.
Stop Using SharePoint as a File Server
This is the biggest and most common mistake.
SharePoint isn’t meant to replicate your old network drive in the cloud. If you just recreate folders inside folders inside folders, you end up with:
- Poor search results
- Duplicate files
- Staff wasting time hunting for files instead of being productive
- Syncing and performance issues
The real value comes when you stop thinking and working in folders and start thinking in structured data.
Use Metadata Not Folders to Organise Files
Instead of filing documents into a maze of folders, SharePoint lets you tag them with metadata.
Think:
- Client name
- Document type (contract, invoice, proposal)
- Status (draft, final, signed)
Now instead of opening folder after folder to find the one file they need. The file is easy to find because it's a single list that can be easily filtered and searched. The benefit of document metadata:
- Filter documents instantly
- Search properly and get accurate results
- Create views tailored to their role
- Structure is easy for humans and machines to navigate
Everyone Can Use Web Pages
SharePoint is a web platform. Use it like that. Take away the user learning curve when you get new staff and they have to learn your folder structure and how you organise things. Create a web page to make finding the important information easy. Everyone is used to navigating web pages.
SharePoint includes modern pages that let you build a simple, clean internal site — effectively your company intranet.
Instead of dumping people into a mess of folders, or big document list, you guide them:
- Key links front and centre - Big bold buttons, no one will miss
- Clear navigation between teams, departments, and projects
- Highlighted files, news, or updates - It's more than just files
- Embed pre-filtered views of your document libraries and lists for ease
- Add you pages to Teams - Everyone's using it already
It sounds simple, because it is - but it massively reduces friction.

People stop asking where things are, by making it obvious.
Lists Not Spreadsheets
Another feature to up your data game is SharePoint Lists.
If you’re using Excel to track:
- Jobs
- Assets
- Tasks
- Internal processes
You’re probably forcing Excel to do something it’s not designed for. You're also putting data inside a closed book.
Lists are:
- Structured
- Filterable
- Shareable
- Easy to build on (automation, reporting, integrations)
- And crucially — they scale better as the business grows.
Why AI Makes This Matter More Than Ever
AI is the buzz now, everyone wants it. But so often AI implementation fails because the AI can't find the answers. It's not the AI's fault, it's all about structure. Tools like Microsoft Copilot rely on your data being:
- Structured
- Well organised
- Easy to interpret
- If your SharePoint is just a pile of folders and random files, AI can't follow it, and won’t help much.
- But if you’ve:
Used metadata
Structured your content properly
Built clear navigation
AI can actually work with your business data — not just search it.
